EHS PTSA January 2021 Meeting Minutes

  • Principal’s ReportBrekke
    • Brekke thanked PTA for the Teacher Appreciation drive and family holiday gift drive
    • We will return to Hybrid on January 25th.
    • Senior Events:
      • Looking for alternate celebrations
      • Graduation still planned to be held at Red Rocks
      • Prom is still a possibility, but nothing is set in stone yet
      • Prom is scheduled for May 1st.
    • We merged this discussion with the discussion listed below of senior event ideas.
    • We discussed Friday student workload and ideas for making it more manageable. Brekke will discuss the issue at next faculty meeting.
    • Beth Kepner requested PTA consider funding a one-year reunion for Class of 2020 to give them a celebration that they didn’t get last year.
      • 3 hours at the Lake House
      • Sometime in June
      • Evening event without alcohol
      • EHS staff also would be invited.
      • PTA discussed feasibility of issue. Potential constraints:
        • Whether insurance would cover event not attended by current students
        • Whether PTA has funds to cover the expense
        • Precedent for holding event for students who have already graduated.
        • Carole will reach out to State PTA to ask whether such an event is with purview of PTA.
      • Financial Report– Crystal
        • Currently membership is only 35 members
        • Reconciliation
          • Starting balance as of Sept. 15th $11,308.39
          • Deposits $1,380.39
          • Expenses $1,414.99
          • Ending Balance as of Jan 19th $11,300.48
        • Current outstanding expenses include (estimates only):
          • Senior Lunch $1000
          • Memory Boards $500
          • Legacy Wall $1000
          • Website $150
          • Taxes $50
          • Teacher Appreciation $1700
          • TOTAL $4,400
        • We should be careful on any new budget items due to lack of income this year with reduced membership.
        • Audit Results for period of August 1, 2019 through July 30, 2020 showed a balanced budget with a single discrepancy for a $10 expense without a receipt.
      • Old Business
        • By-Law Review/Update – Carole
          • Cindy Mauldin volunteered to update Bylaws and will begin as soon as Audit is submitted to state PTA.
        • Board Contact Info has been distributed to the board.
      • Committee Reports
        • Senior Committee/Luncheon -Crystal, Madeline, Amy, Betsy, Carole
          • Legacy Boards – have been ordered
          • Luncheon is scheduled
        • Senior Events – Amy, Betsy, Carole
          • Hoping to hold one senior event per month:
            • Feb: Ice Skating – cost in range of $600 for evening event.
            • March: Tubing – cost is $42 per person. Estimate of $6,300 total (assuming 150 students)
            • April – Drive in movie – Cost appx $600 for event
            • May – Scavenger hunt with drive-by breakfast – Cost ???
          • Brekke may be able to help defray the costs
          • Could have a one-day drive: SOS – Save our Seniors Day in late Jan/early Feb to offset costs
            • Carole, Amy, and Betsy will draft SOS blurb for weekly email blast
          • Membership Christina & Madeline
            • Spring membership drive – to be held following SOS drive. Mid to late Feb.
              • PTA board will also send out email to close friends asking them (and their children) to join.
              • We could do a video for the membership drive.
            • Teacher membership
              • PTA would love to have teacher participation in meetings with updated. Example – meeting new athletic director
              • Would love to push teacher and student memberships.
            • Teacher Appreciation - Yandi 
              • Feb 1, PTA will sponsor coffee cart
              • Foundation would like to discuss joint membership in Chamber of Commerce. Carole, Yandi, Foundation and Chamber will schedule meeting to discuss options.
